Store owner: setup to handoff Prerecorded generated Yvette narration. Training example screens only. No real orders or payments. 1. Start in Today Welcome to the Lighthouse store owner guide. Sign in with your own store account and open the Store workspace. The four main tabs are Today, Orders, Products and Settings. Today shows the saved overview and availability. Orders handles preparation and handoff. Products holds inventory tools. Settings contains operating details and staff access. This guide uses sample records. Watching it does not activate a store or create an order. What to do: Open the store workspace, sign in and choose Today. Expected result: Your private store overview is loaded. 2. Create your account and apply If your store is new, open My Lighthouse. Choose Create account, enter your own details, and choose Create My Lighthouse. Existing users sign in instead. Keep your password private. Then open Business signup in Delivery Harbor, enter the store and pickup details, review the consent, and choose Save business partner request. This creates an application for owner review. A saved request does not list the store or allow orders. Continue setup after the appropriate approval. What to do: My Lighthouse → Create account; Business signup → Save business partner request Expected result: An owner-review application is saved; no public store or ordering is activated. 3. Practice before real orders On Today, choose Try demo board. The button changes to Return to live inbox, and sample orders appear. Changes in this board stay in this browser. Real invoice links and live location sharing are excluded. Practice does not create customer approval, payment, or driver acceptance. Return to live inbox before working on a real order. Reloading the workspace starts in the live inbox. What to do: Choose Try demo board Expected result: Demo mode appears; live availability cannot be changed. 4. Save confirmed operating details From Today, open Continue guided setup. Enter the confirmed store name, support contact, exact opening hours, pickup town and service area, and pickup instructions. Choose Save and continue. These operating details save to your account. They do not open the store or publish its storefront. The older pickup draft under Settings is stored in this browser only. Use the guided account setup for details you need on another device. Keep private customer addresses, passwords and access codes out of pickup notes. What to do: Open guided store setup and save the confirmed store details. Expected result: The operating details restore from the same account on another device. 5. Add and review a product Choose Products and use the catalog item form. Step one records the name, price, package and counted stock. Continue to pickup and customer details, then optional inventory and supplier settings. Finally review the item and choose Save catalog item. Use an exact price for shopping items and the count actually checked. Different flavors and packages stay separate. A starter choice is a private paused draft until reviewed. Keep alcohol, tobacco, lottery, medicine, hazardous items and age-restricted goods out of this pilot. What to do: Choose Products and complete the four product steps. Expected result: The reviewed item has its own saved price, package and stock. 6. Scan or review every import row Under Products, use the barcode tools or review a product spreadsheet. Camera scans stay on this device. Optional online lookup sends the barcode to Open Food Facts and still needs store review. For a CSV, review every page and its selected total before saving. Saved rows, skipped rows and rows needing attention stay clearly labeled. An interrupted save is unconfirmed. Check the saved result or retry the same pending action before changing it. Importing does not silently replace an existing product with the same barcode. What to do: Review all import pages and the selected, saved and remaining totals. Expected result: Only separately confirmed products are saved. 7. Keep stock and reservations accurate Under Products, search the inventory counter by barcode or name. Record stock received, damaged units, or the physical shelf count with a reason. Review the saved inventory log. If another terminal changed an item, compare the current record before saving. After an interrupted response, retry the same action so it is not applied twice. A shortage can hold paid orders and require fresh packing checks. Restore a verified count, arrange a customer-approved replacement or use the protected cancellation and refund controls. A supplier draft does not contact or pay the supplier. What to do: Record actual counts and review any shortage or stale-edit notice. Expected result: Inventory changes have one recorded result and affected orders remain held. 8. Invite staff and control access Choose Settings and open Store staff access. Select Manager, Counter staff or Order picker for the work that person needs. Prepare a private invitation and share its code yourself. Lighthouse does not send it. That person must use their own account with a verified email address to accept the code. A pending invitation grants no store access. Counter staff may update counts but cannot change customer product details. Preparation roles do not grant payment or refund authority. Use Revoke access when someone leaves. Older unverified access must be invited again. What to do: Prepare an invitation for the intended person, then review or revoke access. Expected result: Only the verified intended account can accept its limited role. 9. Understand payments before opening Open Payments and order rules. Each store receives customer payments through its own approved payment connection and pays its own drivers. Lighthouse does not turn a customer quote into driver earnings or hold a driver payout balance. The platform connection is prepared, but your store must authorize its own account. Confirm product prices, taxes, fees, substitutions, cancellation and refund rules before paid orders. Never send a password, bank information, or a payment key through a pickup note. What to do: Payments and order rules → review readiness Expected result: Store-owned payment authorization and launch requirements are shown. 10. Open only after approval Back on Today, review store availability. Closed or Paused stops new requests. Open allows requests only when the launch requirements are also satisfied. Set realistic preparation minutes and maximum active orders, then Save store availability. Existing orders still need attention when you pause. During preparation and training, keep the real store closed. Completing a checklist alone does not approve a public launch. What to do: Today → availability, prep minutes and capacity → Save Expected result: The saved status controls new requests; launch gates still apply. 11. Prepare and refresh the invoice From Orders, open the correct itemized store invoice. Reserved catalog items supply the goods and quantities. Enter delivery, applicable tax, its calculation reference, and only the customer-agreed tip. Choose Save invoice for customer review. The customer must approve that version and complete secure checkout. Use Refresh saved order to read the current record, including while it still says not paid. Check payment status when available for provider confirmation. A return from checkout, a message or approval alone does not prove payment. Do not start fulfillment until payment is confirmed. What to do: Open the correct saved order, prepare its invoice and check saved payment status. Expected result: The customer approves the current complete total before checkout. 12. Review and accept an order Choose Orders and open the correct order number. Review requested items, quantity, timing, customer approval, payment requirements, and pickup instructions. Use the itemized invoice on a real order when available. Do not prepare a changed invoice until the required approval and payment checks pass. If you can fulfill the order, enter a realistic preparation estimate and choose Accept. Confirm that the saved status changed. A failed save must be retried or investigated. What to do: Orders → select order → review approval → Accept Expected result: Accepted is saved with pickup notes and preparation estimate. 13. Pick the exact items and seal the bags Choose Orders to record Preparing and a realistic estimate. Open the focused store workspace for the correct order. Check each actual item, package and quantity. Choose its numbered bag and save the item check. Use every numbered bag in the list, then choose Seal checked bags. Attach each issued label to its matching physical bag. A seal alone does not hand off an order. A changed invoice or stock shortage needs rechecking. Save honest customer updates through the order controls. A saved update is not proof that a phone notification was seen. What to do: Open the current order, save each exact item check and seal the numbered bags. Expected result: The current invoice has matching saved checks and numbered labels. 14. Handle delays and unavailable items If an item is unavailable or preparation is delayed, record the issue, revise the estimate, and choose Needs help. Add a clear customer-visible update. Follow the customer's substitution choice and the store's approved rules. Do not silently replace a product or collect an unapproved difference. For an itemized order, update the invoice and obtain any required new approval and payment before continuing. Use the support path for an unresolved problem; it does not promise an immediate response. What to do: Needs help → issue, revised estimate and customer update Expected result: The issue stays visible while the required decision is pending. 15. Verify bags and the driver pickup code After checking and sealing every numbered bag, choose Ready for driver in Orders. The assigned driver accepts the agreed pay terms, marks Arrived at pickup and verifies every physical bag label. The driver then requests their current six-digit pickup code. Match the order and all bags, enter that code in Driver pickup code, and choose Verify code and hand off. An incorrect or expired code cannot confirm pickup. A stock shortage, unresolved problem or payment hold must be resolved first. Never enter passwords or door codes. Handoff deducts the reserved stock once. What to do: Check sealed labels, driver arrival and the current code before handoff. Expected result: One verified handoff commits the reserved stock once. 16. Cancel or refund the correct payment For cancellation, open the correct order and choose Request cancellation, then check whether it is canceled, refunding, or awaiting review. For an eligible paid order, use the refund form, enter the amount and reason, and submit once. The sample button says Submit test refund. Check the recorded processor result before retrying or changing the amount. A partial refund holds fulfillment for review. Refunding goods already picked up does not put them back on the shelf. What to do: Request cancellation or enter refund amount and reason → verify result Expected result: The processor-confirmed result controls the order; shelf returns stay separate. 17. Review exceptions and finish the day At the end of the shift, check open orders, unresolved issues, inventory differences, and any refund or cancellation work. A note does not issue a refund; verify the actual payment result in the approved order or processor controls. Pause or close new requests when the store cannot fulfill them. Before a real pilot, confirm the store's agreement, approved driver, operating rules, support contact, and physical-device checks. The store and driver walkthroughs prepare you for that supervised test. What to do: Review orders, stock and readiness → pause or close Expected result: The next pilot step follows actual store and device evidence.
