Store owner: setup to handoff Prerecorded generated Yvette narration. Training example screens only. No real orders or payments. 1. Start with the right workspace Welcome to the Lighthouse store owner guide. Open the Store workspace and choose Today. This is your starting point for availability, products, incoming orders, and handoff. Sign in to the account that owns your store. A practice board is separate from your real inbox. This guide uses clearly marked sample records. Watching it does not activate your store or create an order. What to do: Open Store workspace → Today Expected result: Your own store status, catalog and order counts. 2. Create your account and apply If your store is new, open My Lighthouse. Choose Create account, enter your own details, and choose Create My Lighthouse. Existing users sign in instead. Keep your password private. Then open Business signup in Delivery Harbor, enter the store and pickup details, review the consent, and choose Save business partner request. This creates an application for owner review. A saved request does not list the store or allow orders. Continue setup after the appropriate approval. What to do: My Lighthouse → Create account; Business signup → Save business partner request Expected result: An owner-review application is saved; no public store or ordering is activated. 3. Practice before real orders On Today, choose Try demo board. The button changes to Return to live inbox, and sample orders appear. Changes in this board stay in this browser. Real invoice links and live location sharing are excluded. Practice does not create customer approval, payment, or driver acceptance. Return to live inbox before working on a real order. Reloading the workspace starts in the live inbox. What to do: Choose Try demo board Expected result: Demo mode appears; live availability cannot be changed. 4. Set your pickup rules Choose Setup and readiness, then your business rules. Enter the business name, exact hours, normal preparation time, allowed order types, and pickup instructions. Describe where a driver should park and which counter to use. Save the pickup draft. This draft is stored in this browser for this account. It does not open the store. Keep private customer addresses, access codes, and payment information out of pickup notes. What to do: Setup & readiness → Pickup rules → Save pickup draft in this browser Expected result: Your browser pickup draft is saved; availability is separate. 5. Add your first products Choose Catalog. Start with five to ten actual products whose stock you can verify. Enter the product name, category, customer price, preparation time, pickup location, and availability. Add a barcode, shelf location, and substitution rule when available. Save catalog item, then check the saved entry. Use real store-approved information. Keep alcohol, tobacco, lottery, medicine, hazardous items, and age-restricted goods out of this pilot. What to do: Catalog → enter actual product → Save catalog item Expected result: The saved product appears in your account catalog. 6. Scan or import products For barcode entry, open the phone scanner tool. You can type a barcode and choose Find product, or use Open phone camera on a supported phone. Review the product name, quantity, and customer price before Save scanned inventory. Optional online lookup sends that barcode to Open Food Facts; its details still need review. For a spreadsheet, use the CSV import tool, review the selected rows, then save. Importing does not automatically replace existing matching barcodes. What to do: Stock & suppliers → Scan a product → Find product → review → Save Expected result: Reviewed inventory is saved; lookup never confirms price or stock. 7. Keep inventory accurate Choose Stock and suppliers. Search by barcode or product name. Record stock received, the actual shelf count, or damaged items with a reason. Confirm physical quantities rather than guessing. Review the inventory log after saving. A restock request is a private record; it does not contact or pay a supplier. When a supplier delivery arrives, confirm only the quantities actually received. Reserved customer quantities remain protected. What to do: Stock & suppliers → search → receive, count or record damage Expected result: Confirmed quantities appear in the private inventory log. 8. Give staff the right role If another person will use the store workspace, choose Team. Enter that person's account email and select Manager or Counter staff. Managers maintain catalog and inventory. Counter staff handle inventory tasks with narrower access. Choose Save staff access, then review the saved role. Use each person's own account instead of sharing the store owner's password. Add access only for people your store has approved. What to do: Team → staff email → Manager or Counter staff → Save Expected result: The owner sees the saved role for that person. 9. Understand payments before opening Open Payments and order rules. Each store receives customer payments through its own approved payment connection and pays its own drivers. Lighthouse does not turn a customer quote into driver earnings or hold a driver payout balance. The platform connection is prepared, but your store must authorize its own account. Confirm product prices, taxes, fees, substitutions, cancellation and refund rules before paid orders. Never send a password, bank information, or a payment key through a pickup note. What to do: Payments and order rules → review readiness Expected result: Store-owned payment authorization and launch requirements are shown. 10. Open only after approval Back on Today, review store availability. Closed or Paused stops new requests. Open allows requests only when the launch requirements are also satisfied. Set realistic preparation minutes and maximum active orders, then Save store availability. Existing orders still need attention when you pause. During preparation and training, keep the real store closed. Completing a checklist alone does not approve a public launch. What to do: Today → availability, prep minutes and capacity → Save Expected result: The saved status controls new requests; launch gates still apply. 11. Prepare an itemized invoice On a real saved order, open the itemized store invoice. Reserved catalog items supply the goods and quantities. Enter the delivery fee, applicable tax amount, tax calculation reference, and only the tip the customer selected. Review the stock and amounts, then choose Save invoice for customer review. The customer must sign in, approve this invoice version, and complete secure checkout. Check payment status before fulfillment; returning from checkout alone does not prove payment. What to do: Open store invoice → review amounts → Save invoice for customer review Expected result: The customer must approve this exact invoice version before checkout. 12. Review and accept an order Choose Orders and open the correct order number. Review requested items, quantity, timing, customer approval, payment requirements, and pickup instructions. Use the itemized invoice on a real order when available. Do not prepare a changed invoice until the required approval and payment checks pass. If you can fulfill the order, enter a realistic preparation estimate and choose Accept. Confirm that the saved status changed. A failed save must be retried or investigated. What to do: Orders → select order → review approval → Accept Expected result: Accepted is saved with pickup notes and preparation estimate. 13. Prepare and keep the customer updated Choose Preparing while your team picks and packs the order. Add the handoff label, bag count, and any safe handling note. Use Customer-visible update for information the customer should see, then Save notes and customer update. A saved update is an order record, not a live chat or a guaranteed phone alert. Notification support and actual notification delivery are different checks. Do not assume the customer has seen an update. What to do: Preparing → safe ready note → Save customer update Expected result: Preparation and the intentional customer update are saved. 14. Handle delays and unavailable items If an item is unavailable or preparation is delayed, record the issue, revise the estimate, and choose Needs help. Add a clear customer-visible update. Follow the customer's substitution choice and the store's approved rules. Do not silently replace a product or collect an unapproved difference. For an itemized order, update the invoice and obtain any required new approval and payment before continuing. Use the support path for an unresolved problem; it does not promise an immediate response. What to do: Needs help → issue, revised estimate and customer update Expected result: The issue stays visible while the required decision is pending. 15. Confirm a safe driver handoff After packing, choose Ready for driver. The assigned driver must accept and mark Arrived at pickup. Match the order number and bag count. Ask the driver for their six-digit pickup code, enter it in Driver pickup code, and choose Verify code and hand off. Codes expire after fifteen minutes and work once. Incorrect or expired codes cannot confirm pickup. Never enter passwords or door access codes. What to do: Ready for driver → enter driver pickup code → Verify code and hand off Expected result: One verified store handoff; reserved stock is deducted once. 16. Cancel or refund the correct payment For cancellation, open the correct order and choose Request cancellation, then check whether it is canceled, refunding, or awaiting review. For an eligible paid order, use the refund form, enter the amount and reason, and submit once. The sample button says Submit test refund. Check the recorded processor result before retrying or changing the amount. A partial refund holds fulfillment for review. Refunding goods already picked up does not put them back on the shelf. What to do: Request cancellation or enter refund amount and reason → verify result Expected result: The processor-confirmed result controls the order; shelf returns stay separate. 17. Review exceptions and finish the day At the end of the shift, check open orders, unresolved issues, inventory differences, and any refund or cancellation work. A note does not issue a refund; verify the actual payment result in the approved order or processor controls. Pause or close new requests when the store cannot fulfill them. Before a real pilot, confirm the store's agreement, approved driver, operating rules, support contact, and physical-device checks. The store and driver walkthroughs prepare you for that supervised test. What to do: Review orders, stock and readiness → pause or close Expected result: The next pilot step follows actual store and device evidence.
